    In short: we collect what we need to quote, book and carry out your valet, take payment and keep the records the law requires. We only send marketing within the rules, and you can stop it at any time. We don’t sell your information. You can ask to see, correct or delete it whenever you like.

    1. Who we are

    This policy explains how SORTD Detailing Ltd (“SORTD”, “we”, “us”) collects, uses and looks after your personal information when you visit our website, get in touch, book a service, or interact with us on social media.

    We are the “controller” of your personal information, which means we decide how and why it is used. We’ve written this policy in plain English so it’s easy to follow.

    2. What this policy covers

    • our website, and any forms, booking tools or chat on it

    • enquiries and bookings made by phone, text, WhatsApp, email or social media message

    • the jobs we carry out at your home or workplace, and the invoices and payments that go with them

    • our loyalty and referral scheme, and any marketing we send

    • our social media pages and Google Business Profile

    It doesn’t cover other organisations’ websites or platforms that we link to — they have their own policies. For how we use cookies, see our Cookie Policy (below).

    3. The personal information we collect

    You don’t have to give us your personal information, but we can’t quote, book or carry out a job without your contact details, address and vehicle details.

    We don’t deliberately collect “special category” information (such as health, ethnicity or religion) or information about criminal convictions, so please don’t send it to us. If you tell us something about yourself that you want us to take into account — for example, access needs at your address — we’ll use it only for that purpose.

    4. How and why we use your information

    The law says we need a valid reason (a “lawful basis”) for each use. Here are ours:

    Where we rely on consent, you can withdraw it at any time. Where we rely on legitimate interests, we’ve weighed them against your rights and freedoms, and you can object (see section 11).

    5. Marketing and your choices

    We want to keep in touch in a way that’s useful, not annoying.

    • If you’ve asked for a quote or booked with us, we may contact you by email, text message or WhatsApp about our own similar services. For example: following up your enquiry (up to three messages), a reminder to rebook, a seasonal reminder (such as a winter interior clean or a spring reset), or a message if you haven’t booked for around six months. We rely on the “soft opt-in” rule for this: you were given a simple way to opt out when you gave us your details, and every message includes one.

    • If you haven’t enquired or booked with us, we’ll only send you marketing messages if you’ve clearly said yes.

    • Reviews: after a job we may ask you to leave a Google review. It’s always your choice.

    • We never make marketing a condition of booking.

    • To stop: reply STOP, use the unsubscribe link, or message or email us. We’ll stop promptly, and keep your contact details on a suppression list so we don’t message you again by mistake.

    • Referrals: if you refer a friend, only give us their details with their permission. If someone has referred you, we record that so you both get the reward. We don’t share your booking details with the person who referred you — only that a reward has been earned.

    6. Photos, video and social media

    • We photograph every vehicle before and after we work on it (see section 4). These stay private unless you agree to us sharing them.

    • We ask before we post. Our promise: no number plates, no location details, and we won’t show you or anyone else recognisably without your OK.

    • If you change your mind, tell us and we’ll remove the content from our website and social media pages. We can’t always remove copies that others have already saved or shared, but we’ll do what we reasonably can.

    • When you message, comment on or follow us on Instagram, TikTok, Facebook or WhatsApp, those platforms also collect and use your information under their own privacy policies. They are separate from us.

    • Google reviews you leave are public and handled under Google’s policies.

    7. Who we share your information with

    We don’t sell your personal information, and we don’t pass it to other companies for their own marketing. We share it only where it’s needed, with:

    We make sure the providers that handle your information for us do so under proper data-protection terms.

    8. Sending information outside the UK

    Some of our providers (for example HighLevel, Stripe, Airtable, Google, Meta and Apple) are based in, or process information in, the USA or other countries outside the UK. When that happens, we make sure it’s properly protected — for example because the country or company is covered by UK “adequacy” rules (including the UK–US data bridge for certified US companies), or because the provider has signed UK-approved standard contract terms (the UK International Data Transfer Agreement or the UK Addendum). You can ask us for more details about these safeguards.

    When a period ends we delete or anonymise the information. If we need to keep something longer — for example because of an ongoing complaint, claim or legal requirement — we keep it only for as long as that need lasts.

    10. How we keep your information safe

    • Customer and business records are held in password-protected online accounts with established providers, and access is limited to the company’s directors and anyone we authorise.

    • We use two-step verification on our main business accounts where the provider offers it.

    • Card payments are handled by Stripe. We never see or store your full card number.

    • Phones and devices that hold job photos and messages are protected by a passcode or biometric lock and kept up to date.

    • We keep only what we need, and delete it on the schedule above.

    • If there is a data breach that is likely to put your rights at risk, we’ll tell you and the ICO without delay, and within 72 hours where the law requires.

    11. Your rights

    Under UK data protection law you have the right to:

    • be informed about how we use your information (this policy)

    • access the personal information we hold about you

    • correct anything that’s wrong or incomplete

    • have it erased in certain circumstances

    • restrict how we use it in certain circumstances

    • data portability — to receive information you gave us in a commonly used electronic format, where we use it based on contract or consent

    • object to us using it based on legitimate interests, and to stop direct marketing at any time (this is absolute)

    • withdraw consent at any time, where we rely on it — this doesn’t affect what we did before you withdrew

    • not be subject to solely automated decisions with legal or similarly significant effects — we don’t make any

    To use any of these rights, email sortdvaleting@gmail.com. We may need to check who you are first. We’ll respond within one month (we can extend this by up to two further months if your request is complex, and we’ll tell you if so). There’s normally no charge, though we may refuse or charge a reasonable fee for requests that are clearly unfounded or excessive.

    12. Complaints

    We’d always like the chance to put things right, so please contact us first at sortdvaleting@gmail.com. We’ll acknowledge your complaint within 30 days and deal with it without undue delay.

    13. Children

    Our services are for adults. We don’t knowingly collect personal information from anyone under 18. If you think a child has given us their information, please contact us and we’ll delete it.

    14. Links to other websites

    Our website and social media pages may link to other websites. We’re not responsible for their content or how they use your information, so please read their policies.

    15. Changes to this policy

    We review this policy regularly and update it when our services, tools or the law change. The “last updated” date at the top shows the latest version. If we make an important change, we’ll tell you directly where appropriate.
